2. What Data We Collect and Why

2.1 Business Listing Submissions (B2B)

When a business submits a listing via our registration form, we collect:

• Business name, category and description
• Contact person's name
• Phone number and email address
• Business address in Bratislava
• Website URL (optional)
• Languages spoken
• Category-specific details (e.g. medical specialty, practice area)

Legal basis: Art. 6(1)(a) GDPR — your explicit consent given at the time of submission.

Purpose: To review, verify and publish your listing in the ExpatBase directory so that English-speaking expats in Bratislava can find your services.

2.2 Newsletter / Community Sign-up

When you sign up for our newsletter or community updates, we collect your email address.

Legal basis: Art. 6(1)(a) GDPR — your explicit consent.

Purpose: To send you updates about new listings, features and community news. You can unsubscribe at any time via the link in any email.

2.3 AI Form Translator

If you use our AI Form Translator tool, any document you upload is processed in real time to generate a translation. We do not store, log or retain any uploaded documents or their contents. Processing is performed in-memory only and no personal data from uploaded documents is written to any database.

Legal basis: Art. 6(1)(b) GDPR — processing necessary to perform the service you requested.

2.4 Technical / Usage Data

Our hosting provider (Cloudflare) may process standard server logs including IP addresses and browser information as part of delivering the website. This processing is governed by Cloudflare's own privacy policy.

3. Data Processors and Third Parties

We use the following third-party services that may process your data on our behalf:

• Airtable (Formagrid Inc.) — stores business listing submission data. Airtable is an ISO 27001 certified platform. Data may be stored on servers in the United States; Airtable participates in the EU–US Data Privacy Framework.
• Cloudflare Inc. — provides website hosting and CDN services. Cloudflare processes connection data in accordance with its privacy policy.
• Anthropic PBC — provides the AI model used by the Form Translator. As noted above, no document content is retained after processing.

We do not sell, rent or share your personal data with any other third parties for marketing purposes.

4. Data Retention

• Business listing data: retained for as long as your listing is active, plus 12 months after removal or withdrawal of consent.
• Newsletter emails: retained until you unsubscribe, after which they are deleted within 30 days.
• Form Translator documents: not retained — deleted immediately after processing.

5. Your Rights

Under GDPR and Slovak law, you have the following rights regarding your personal data:

• Right of access — request a copy of the data we hold about you
• Right to rectification — request correction of inaccurate data
• Right to erasure ("right to be forgotten") — request deletion of your data
• Right to restriction of processing — request that we limit how we use your data
• Right to data portability — receive your data in a structured, machine-readable format
• Right to object — object to processing based on legitimate interests
• Right to withdraw consent — withdraw consent at any time without affecting the lawfulness of prior processing
